1. Who we are
Halo Solutions (“we”, “us”) provides web hosting, business email, domain registration and website design from 1 Richwal Avenue, Mabelreign, Harare, Zimbabwe. This policy covers this website (halosolutions.co.zw) and our client area (billing.halosolutions.co.zw). We are responsible for the personal information described here.
2. What we collect
- Account and contact details: your name, company name, email address, phone number and postal address, when you create an account or place an order.
- Billing details: your invoices, the services you’ve bought, how you paid and payment references. Card and PayPal payments are processed by our payment providers.
- Domain contact details: the registrant, admin and technical contacts you give us when you register or transfer a domain.
- Support messages: what you send us in support tickets, emails, phone calls and WhatsApp messages.
- Technical information: your IP address, browser type, the pages you request and when you log in. Our servers record this automatically, and we use it to keep the site and your account secure.
- Analytics information: only if you accept analytics cookies (see section 5).
3. How we use it
- To set up, run and support the services you order, and to register and renew your domains.
- To send invoices, payment receipts, renewal reminders and notices about your services. These emails are part of the service.
- To keep our accounting and tax records, as the law requires.
- To protect our website, client area and servers from fraud, spam and abuse.
- To send news and offers about our services. You can turn these off at any time (see section 9).
- With your consent, to understand how visitors use this website so we can improve it.
We don’t sell your personal information.
4. Who we share it with
We only share personal information with organisations that help us deliver our services, and only what they need:
- Domain registrars and registries: Resellme for .zw domains, Namecheap for other extensions such as .com, and the registry that runs each extension. Some registries publish domain contact details in their public WHOIS database.
- Payment providers: such as PayPal, when you pay online. They handle your payment under their own privacy policies.
- Google: for Google Analytics (only if you accept analytics cookies), for the reCAPTCHA check on some client-area forms, such as sign-up, contact, support tickets and password reset, and for the fonts this website uses.
- Technology providers: the companies that supply our servers and the software that runs our website and client area.
- Authorities: when the law requires it, for example a valid court order.
5. Cookies and analytics
Cookies are small files that a website stores in your browser. We use two kinds:
- Essential cookies: these keep you logged in to the client area, remember your shopping cart and remember your cookie choice. The site can’t work properly without them, so they can’t be switched off.
- Analytics cookies (Google Analytics): these tell us, for example, which pages are visited, roughly where visitors come from, and which buttons are clicked, such as “Order now” or a domain search. They are only set if you click Accept on our cookie banner. If you click Reject, Google Analytics isn’t loaded.
You can change your choice at any time: reset your cookie choice and the cookie banner will appear again. You can also delete cookies in your browser settings.
6. Data outside Zimbabwe
Some of the providers listed in section 4, such as Google, PayPal and Namecheap, are based outside Zimbabwe, so your information may be processed in other countries. We only use well-known providers that protect personal information.
7. How long we keep it
- We keep your account details for as long as you have an account with us.
- After you close your account, we keep invoices and payment records for as long as tax and accounting law requires, and delete or anonymise the rest when we no longer need it.
- Server logs are kept for a limited period, for security and troubleshooting.
- Analytics data is kept by Google Analytics under the retention setting on our account.
8. Security
This website and our client area use encrypted HTTPS connections. Client-area passwords are stored in hashed (scrambled) form, access to customer information is limited to the people who need it, and we use spam and bot protection on our forms. No system is completely secure, so please use a strong password that you don’t use anywhere else, and tell us straight away if you think your account has been misused.
9. Your choices and rights
- See and correct your details: log in to the client area to view and update your contact details at any time.
- Marketing emails: you can opt out in the client area under your account details, or by contacting us.
- Analytics: you can withdraw your consent at any time (see section 5).
- Other requests: you can ask us for a copy of the personal information we hold about you, ask us to correct or delete it, or object to how we use it. We may need to confirm your identity first, and we may have to keep some records that the law requires.
If you’re not happy with how we’ve handled your information, please contact us first. You can also complain to the Postal and Telecommunications Regulatory Authority of Zimbabwe (POTRAZ), which is Zimbabwe’s Data Protection Authority under the Cyber and Data Protection Act [Chapter 12:07].
10. Websites and email you host with us
If you host a website or email with us, you decide what personal information it collects and stores, and you’re responsible for it, including having your own privacy policy where needed. We only access your files, databases and mailboxes to provide the service, when you ask us to for support, or when the law requires it.
11. Children
Our services are for businesses and adults. We don’t knowingly collect personal information from anyone under 18.
12. Changes to this policy
We may update this policy. When we do, we’ll post the new version on this page with a new “last updated” date, and we’ll email customers about significant changes.
